Tender are invited for


- Vendor needs to provide board minutes and agenda management and video streaming software.





- To provide a turn key, comprehensive, and flexible agenda management system that supports an internet video streaming and meetings management solution for the agency-s operations.





- Agency has a population of approximately 56, 000 and the Agency employs approximately 450 FTES in several facilities throughout the Agency.





- We currently have thirty meeting groups that utilize iqm2 for our agenda preparation, document management, and meeting streaming solution.





- The agency has had iqm2 since 2013.





- Granicus is now phasing out iqm2, which requires us to find a new minutes and agendas solution.





- The agency seeks to obtain a solution that will automate, streamline, and simplify the agendas and


minutes creation process for the thirty current meetings groups within the agency; support video


streaming, and recording of agency meetings; and, provide a user-friendly portal for staff and the public


to access and search for relevant meeting agendas, minutes, and recordings.





- The agency intends to migrate all data, including videos, from the current agendas and minutes system to the new system.





- The proposed solution shall be of an expandable, modular design to readily incorporate additional enhancements in the future.





- It should be configurable with no need for costly customization.





- It should be developed, tested, and maintained using a high-quality software development


methodology for long-term reliability and technical efficiency.





- The solution needs to offer data integrity in a secure, redundant, always available system with business


continuity, disaster recovery, data backup and restoration, archive retention and disposal practices.





- In addition, the solution must have bandwidth to transport and stream media and process information


for this application within agency and to the web
