This Request for Proposals (the “RFP”) is an invitation by Queen-s University (“Queen-s”) to prospective proponents to submit proposals for a Records Management Add-In Software for Microsoft SharePoint as further described in Section A of the RFP Particulars (Appendix D) (the “Deliverables”).IntroductionQueen-s University manages numerous constituent relationships, including prospective students, current students, alumni, staff, faculty, partners, affiliates, Canadian institutions, international organizations, and other universities. The University is experiencing an exponential growth of electronic records and requires a contemporary solution to managing its own business information. Historically, Queen-s has had a decentralized model where departments manage their own records and information (usually manually). This decentralized structure has resulted in silos on campus and makes managing records and information inefficient and costly, resulting in a suboptimal constituent experience.Queen-s is seeking to advance its records and information management program for the purposes of improved reliability, protection, classification, retention, and disposal of electronic records holdings to increase overall business efficiency and ensure compliance with provincial legislation that mandates management of all records, and with privacy laws.
