The Municipality of SittardGeleen wants a generic facility for scanning and document processing. We process approximately 250, 000 pages per year (mailroom and invoices). We also see opportunities in the (automatic) processing of digital channels, such as email boxes (we do not yet have figures for this).the numbers). The generic scanning and document processing solution provides the organization with the following functionalities: Scanning of physical documents: The ability to scan physical documents from a scanner or multifunction printer (MFP). Digital Document Feeder: The option to use digital document inputimport numerous documents in different formats, such as PDFs, Word documents, images, and so on. Image Optimization: Features such as auto-deskew, background noise removal, brightness/contrast adjustments, and other image enhancements to improve the readability of scannedimprove documents. OCR (Optical Character Recognition): The ability to convert scanned images of text into searchable and editable text. Document classification and separation: The system must be able to recognize and automatically separate different types of documentsclassify based on preset criteria. It must also be possible to separate documents into different categories. Indexing and metadata extraction: The ability to extract relevant information from documents and link it to metadata fields for better organization en searchability. Automatic data validation: The system can validate data in scanned documents against predefined rules or databases to ensure accuracy. Workflow automation: Workflow functionality to automatically send (scanned) documents to the right peopleor route systems for further processing. Security and regulatory compliance: Features such as user authentication and audit trails to meet security and compliance requirements. Reporting and analytics: The ability to generate reports on scanning activities, such as the number ofalready scanned documents, processing time, etc., as well as analysis of trends to improve efficiency. Problem definition: in its services and business operations, the municipality uses various channels, sources, target systems and procedures to process physical and digital documents.and to process. In principle, we work digitally and case-oriented, but the complex application landscape and multitude of procedures have not yet led to a uniform process and unambiguous distribution of documents. The aim of the market survey is to formulate a realistic and feasible tenderthat is in line with the market aimed at purchasing generic facilities for scanning and document processing. The market survey should clarify what developments there are in this area and how they fit in with the needs of the municipality. It is important to have insight into the tenderto obtain which costs should be estimated for the term of 5 years and any option years and which tender form and design is (legally) necessary.
